Regulation

of the office center
of "Red Center"

1. General principles

The present operating regulation of the "Red Center" office center regulates the operating framework of the building facilities, offices and other spaces, the exclusive possession and management of which is held by "Red Center", as well as the mode of operation of the services provided .

2. Office center

2.1 Access

Customers, depending on the type of office or services they have chosen, will be granted access to the office center, use of common areas, business and administrative support services, etc.

Access to the above areas will be made through the use of keys - entry cards, key rings etc. which will provide the possibility for customers to enter specific and already, upon signing the contracts, agreed areas.

The customer is obliged to always carry the key, the entrance card, the key fob, etc. for security reasons, so that he can enter or leave the premises at any time.

The customer does not have the right to give the key, entry card, key fob, etc. to a third, non-contracting party, when this is not provided for in his contract, unless he has notified the company in writing of his intention, and company has not banned it.

In order for a visitor to be able to enter the center, the customer must have informed the reception about the visitor's arrival, and the visitor is obliged to hand over his identity card in order to receive a visitor card.

2.2 Keys

All types of keys, entry cards, keychains etc. given to customers, in order for them to be able to enter and move within the office center, remain the property of the company, and must be returned to it, with the termination of each contract.

In order to ensure greater security, customers who will be provided with keys, entry cards, key fobs, etc. must have previously completed the required identity verification process, and present their photo, so that the required IDs can be issued.

It is forbidden to make copies of any kind of keys, entry cards, key rings, etc. If a customer loses keys, an entry card, key rings, etc., or for any reason, copies of them are needed, he is obliged to request them from the company, which is the only one competent to issue and grant these copies.

Any possible loss, damage, etc. must be reported immediately to the company, so that it can take the appropriate security measures each time, and issue a new key, entry card, keychain, etc.

All costs for the supply or reissuance or granting of copies of keys, entry cards, key rings, etc., for which the copy is 25.00 euros, as well as any replacement of locks or access devices, if this is required, are borne exclusively by the customer. 

Each customer is charged with the one-time payment of 34.00 euros for the activation and configuration of the entry card(s) for each entry card. 

2.3 Common areas, Offices, etc

  1. It is prohibited to use the common areas for any kind of meetings, gatherings or conducting transactions, which may only be conducted within the designated rooms for a fee.
  2. Any type of use of the premises and facilities of the office center, which contradicts or conflicts with the nature of the premises or which may affect the company in any way, is prohibited.
  3. Smoking of any type (normal, electronic, vaping, etc.) is prohibited in all indoor and outdoor areas of the office center, and smokers who wish to smoke must leave the building.
  4. All kinds of cooking and the use of cooking equipment or devices, except for those provided in the kitchen, are prohibited.
  5. It is prohibited to post any type of sign, inscription, sign, etc., anywhere inside or outside the office center, without our approval. In case of approval, our company is entitled to a fee of twenty-five (25.00) euros or forty-five (45.00) euros, depending on the dimensions.
    Every sign, inscription, sign, etc. must be designed in accordance with the company's instructions, placed within the designated area (totem) and frame, and have the shape, size and specifications defined by the company, so that is homogeneous.
    In case of non-compliance by the customer, this sign will be removed, and the customer will have to pay the amount of fifty euros (50.00).
  6. Any type of network, hydraulic, electrical or other type of installation, intervention, addition, etc., even temporary, without the approval of the company, is prohibited.
  7. It is prohibited to any cause possible drilling, the installation of additional locks or screws of any kind, the replacement of locks or mechanisms and in general any intervention in the area of the office center.
  8. It is prohibited to connect and use any type of devices, which use electricity or liquid fuels, for lighting, heating, ventilation, air conditioning, production, etc. (such as lighting, radiators, air conditioners, refrigerators, photocopiers, multi-machines, vending machines, coffee equipment, etc.), without the express approval of the company,
  9. It is forbidden for customers and their associates to modify in any way the internal layout of the office center, to bring any furniture, seat, decoration etc. or to move the furniture in the space.
  10. The manufacture or storage of goods within the office center is prohibited.
  11. It is prohibited to manufacture, use, sell, trade, etc. alcoholic beverages, tobacco, drugs, weapons, etc.
  12. It is prohibited for customers and those related to them to attempt any violation of the security systems, services and network of the company or a third party. Examples of prohibited activities include - without limitation - hacking, hacking, monitoring or unauthorized use of systems, scanning ports, conducting denial-of-service attacks, and distributing viruses or other harmful software, or any action subject to criminal or civil penalties.
  13. The customers and those related to them, are obliged to ensure that all areas of the office center, equipment, furniture, etc., are used correctly, carefully and in accordance with their respective designated use, without this being modified, with any way.
  14. Customers and those related to them, are obliged to keep the spaces, which have been granted to them or which they use, clean, by throwing their waste in the central waste bins.
  15. Customers and those related to them, are obliged to be careful, to be aware of the space they occupy, the tone and style of their conversations and their other activities, so as not to disturb, offend or provoke other users and customers.
  16. Customers and those related to them are required to use the necessary spaces for their meetings and to comply with all health and safety requirements defined by the company and the law.
    In the event that the client does not use appropriate spaces, the company, if it judges that a client's visitors are more than those considered safe, depending on the specific circumstances, is entitled to request from the client the use of additional office space or a meeting room, with the current prices, reserving in the opposite case not to allow the entry or to expel the surplus ones.

2.4 Kitchen

Each customer is obliged to remove the consumed food and drinks from the area of both the office and the kitchen of each floor and leave the area clean for other customers. 

Likewise, all cooking utensils are intended for shared use and must therefore be cleaned after use and put back in their proper place. The only areas where eating is allowed are the outdoor area and the bar. 

Beverages (excluding alcoholic beverages) may be consumed anywhere at the responsibility of the persons consuming them.

3. Spaces and services provided

"Red Center" provides its customers with the possibility of using the following spaces and services, namely:

3.1 Private Offices

The Private Offices may only be used by the company's customers, to whom their use has been granted, while no other persons are allowed to enter them other than the customers.

For the security of the customers and the center premises, the customer's visitors may enter the office center premises and go to the customer's office, only provided that the customer has previously informed the company in writing.

The customer who uses this office is entitled to use it 24 hours and 7 days a week, and to declare it as the tax office, stating the address of the company.

These offices, depending on their size, can house from one (1) to six (6) clients, and accept up to two (2) visitors. In the event that an office is selected, e.g. four (4) customers, in order to be used by one, he can accept up to three (3) guests and so on. Visitors/ guests may stay in the office for up to 20 minutes. If they wish to have a longer meeting, it will have to be held in a conference room at the corresponding charge. For each seat, in addition to the ones already provided (up to two for guests), the customer may rent additional ones, for a daily amount of seven (7.00) euros

If there is no availability, the company may need up to one week to deliver them to the customer.

The customer who chooses the office in question is provided with the following services, which are included in the monthly price, namely:

  1. 24-hour internet access,
  2. secretarial support,
  3. mail and parcel management,
  4. notification of receiving mail,
  5. free parcel/mail storage service,
  6. 24-hour access to phone booths,
  7. a thirty-five percent (35%) discount on the price for use of meeting rooms and event spaces,
  8. daily cleaning service and
  9. use of a filter coffee maker and unlimited consumption of the coffee produced by it.

The minimum duration of service is three (3) months.

3.2 Open Space Offices

The Private Open Space Offices can only be used by the company's customers, to whom their use has been granted, while no other persons besides the customers are allowed to enter them.

Customers may use said offices only during business hours and days, i.e. weekdays from 9:00 until 6:00, and has the option to declare as his office address, the address of the company, but not to declare it as his tax office.

The possibility of declaring the address in question as a tax office is only allowed after an express and separate agreement with the company.

The offices in question house one (1) client, visitors are prohibited.

The customer who chooses the office in question is provided with the following services, which are included in the monthly price, namely

  1. 24-hour internet access,
  2. mail management,
  3. notification of receiving mail,
  4. weekly mail receipt notification,
  5. daily cleaning service and
  6. use of a filter coffee maker and unlimited consumption of the coffee produced by it.

The minimum duration of the service is one (1) day.

3.3 Fiscal Address

These premises are used only as tax offices and not as offices and therefore clients are not granted the right to use the premises of the company on the one hand and to receive visits on the other hand, apart from the use of the meeting room, as defined below.

The customer who chooses the space in question may enter the office center daily from 9:00 until 5:00, and the following services are provided, which are not included in the monthly price, namely

  1. weekly notification of mail received by regular mail and
  2. mail custody service.

The minimum duration of service is six (6) months.

3.4 Conference Spaces

These spaces are fully equipped with screens and internet connection, conference rooms, with the possibility of participation of up to twelve (12) people, and are used by the customers, for meetings and meetings, based on availability and against additional costs, calculated based on the price list, for every hour beyond the free ones available.

Specifically, the conference room, with a capacity of up to six (6) people, is provided for an amount of 42.00 euros, and the conference room, with a capacity of up to twelve (12) people, is provided for an amount of 112.00 euros on weekdays.

The reservation is made after consultation with the company, respecting the order of priority.

The customers are obliged to be consistent in the duration of use of the space, and to deliver it immediately and in the same good condition - as soon as the reservation time has passed.

A customer can cancel his reservation free of charge, if it takes place up to five (5) hours before the start of the agreed period of use and with a charge of twenty percent (20%) of the total cost of using the space, in any other case.

The company reserves the right to increase the above charge up to one hundred percent (100%) of the total cost of using the space, and to impose a one-time monetary penalty, in the event that it finds that the above right is being abused by a customer or the its cancellations are frequent.

3.5 Event Venues

The company may have space in the office center, consisting of indoor and outdoor space, for holding events, conferences, gatherings, etc., with a capacity of up to fifty (50) seated persons and one hundred and fifty (150) standing persons.

In addition, the company can have and carry out events, presentations, etc. in an already configured room/gallery, with exhibits/works by Greek and foreign renowned artists.

Interested customers can contact the company for more information about the spaces, cost and availability of the spaces available.

The cost for holding the events is determined specifically, depending on the hours and days of the event and the services that the customer requested to be provided.

The spaces in question are designed so that they can be used by customers and their visitors for a limited period of time and not for continuous and daily use by the same customer.

The company reserves the right to limit the use of any of its customers or to adjust their subscription, if it finds that the space is being used abusively and to the detriment of other customers.

3.6 Relaxation area

This space concerns the use of the space, located on the first level of the office center, for the purpose of relaxing office customers, regardless of the floor, and it contains comfortable pouf-type seats.

There is no order of priority in the use of this space, but it is used freely, when it is free to use, with respect to other customers.

The company reserves the right to limit the use of one of its customers, if it finds that the space is being used abusively and to the detriment of other customers.

3.7 “RED Hybrid” Service

This service concerns the use, during the days and hours that have been agreed, of pre-agreed office spaces of Private Offices by the clients, while the entry of third parties other than the clients is not allowed.

This service provides the customer with the possibility of using more than the specified number of associates in his private office, through their rotation and the use of more cards, keys, etc. Specifically, if, for example, a customer uses an office of three (3) seats and has chosen this service, instead of just two (2) partners being able to access it (two (2) partners plus himself), he can have e.g. four partners, who will alternate, so that those in the space do not exceed the prescribed positions, which in this case are three (3).

The customer who chooses the said service, may provide the use of his office to additional users, for a monthly price of eighty-six (86.00) euros for each user.

For the issuance of a key - entry card, key fob, etc. for each additional user, the customer will pay a one-time amount of thirty four (34.00) euros.

The minimum duration of the service is one (1) month.

3.8 Phone Booths Service

This service concerns the use of the telephone booths, located on the floors of the office center, in order to minimize, as much as possible, the noise in the common areas and offices, during a telephone or video call.

The use of these rooms is per floor and only by customers who have an office or room on that floor, while the service is provided free of charge.

There is no order of priority in the use of these booths, but they are used freely when they are free to use with respect to other customers.

The company reserves the right to limit the use of one of its customers, if it finds that the space is being used abusively and to the detriment of other customers.

3.9 Secretarial Support Service

This service concerns the provision of secretarial support services, which are offered to clients, depending on their office choice, which are included in the monthly price, i.e.

  1. mail and parcel management,
  2. mail notification for registered and urgent letters,
  3. notification of mail received by regular mail,
  4. free parcel/mail storage service,
  5. forward incoming calls, as long as the customer is connected to the telephone network and has chosen, with an additional financial charge, the provision of this service.

3.10 Mail Service

Mail and parcel handling services will be limited to parcels not exceeding 4.5 kg in weight, 46 cm in any dimension, 0.03 cubic meters in volume. Items of larger size or with specific content, as defined below, will only be accepted by mutual prior agreement.

Parcels containing dangerous, live or perishable goods will not be accepted and will be returned.

Any parcels received by the company and not collected, within a reasonable period of time, by the customers, will be rejected, after the customers are first invited to collect them, and the specified time has passed.

The company may charge an additional fee of €50 if it determines that there is an excessive volume of mail received from a particular customer.

The company bears no responsibility for the status of the received parcels, as well as their contents.

The customer releases the company in advance from any liability it may bear, regarding mail or parcels sent or received on his behalf, and expressly waives any claim he may have.

3.11 Cleaning service

As part of the operation of the office center and in order to keep its premises clean, tidy and free of unpleasant odors, the company cooperates with cleaning crews.

However, in order for the company to be able to offer the agreed upon cleaning services and to keep the premises clean, the customer is obliged to allow access (e.g. to private offices) and to facilitate the workshop in the performance of its services.

In the event that for any reason (e.g. locked office, holding a meeting, non-stop work, etc.) the workshop is unable to perform the agreed cleaning services, they will be provided the next day and so on.

However, given that some areas may not be cleaned frequently, the company reserves the right and customers are obliged to comply with its requests to have the area cleaned immediately.

In the case of the customer not complying with the company's requests, the company may either enter the premises, without the customer's consent, in order to clean, the customer waiving any right or claim, or charge the customer the entire of the cost, plus a monetary penalty, of the amount of fifty euros (50.00), predetermined by the same, for carrying out the cleaning at another time.

3.12 Coffee service

The customer and those related to him have the right to unlimited consumption of filter coffee.

3.13 Business Continuity Service

This service concerns the continuation of the provision of mail and visitor services, for three (3) months after the termination of the contract with the customer, in order to serve him, in his transition to a new address, for a monthly amount of twenty (20.00) euros .

The company, during working hours and days, can provide interested parties with the client's new office address, as well as their contact information. A basic condition for this is that the customer has delivered to the company the information cards or brochures that the company wishes to give to the interested parties.

In addition, the company will continue to collect and store the customer's mail and parcels, and may forward it to the customer's new address. The cost of forwarding mail and parcels is not included in the said service, while the service assumes that the contract with the customer has a duration of more than six (6) months, and that it concerns a closed office.

In the event that the customer does not choose this service, the company will return the mail to the sender, without further notice, and any information about the customer's new address will not be given.

3.14 Parking space provision service

This service is provided to clients of private and open offices, and it concerns the provision of a specific parking space in the area of the building center, for a monthly amount of eighty four (80.00) euros.

Due to limited space available, this service is subject to availability.

It is emphasized that the company bears no responsibility for any destruction, theft, damage, damage, etc. caused to the customer's vehicle, during the entire period of use of the area in question, given that no relevant service, e.g. security, protection, control, etc. provides .

3.15 Incoming Call Forwarding

This service is provided to the customer, then connected to the company's telephone network and contract contract with the affiliate provider and concerns the use of internet telephones exclusively (IP Telephony).

The customer who chooses this service has the option of using either a landline phone or a software phone (softphone).

In the case of using a fixed telephone, the customer can either rent a telephone device from the company, for a monthly price of twenty (20.00) euros, or bring his own. In both cases, as well as in the case of using a softphone, the customer is required to pay a one-time amount of twenty-three (23.00) euros for the configuration of each device.

It is clarified that the company does not provide telephone lines, and therefore, the prerequisite for the use of that service, is to conclude a contract with the affiliate with the company, for a relevant fee upon agreement, without in any way the company being involved, in this relationship and bear any responsibility.

 

4. Behavior – clothing

Customers and those related to them, are obliged to behave in a modest, professional and decent manner, not to harass, not to be under the influence of alcohol or other substances, to always be dressed in appropriate professional clothing and not to exceed noise levels, which, under normal circumstances, do not affect or disturb other customers.

The company bears no responsibility for any injury to a customer caused by his consumption of alcoholic beverages or other substances.

In addition, the above are obliged to comply with the company's instructions from time to time, regarding everything related to the use of the premises and services, such as e.g. with safety, noise levels, accessibility, behavior etc.

The playing of music, the use of musical instruments, singing, dancing and any other action that may disturb other working customers and their staff is prohibited.

It is recommended that customers avoid the use of any clothing that may incite hatred, discord, contain abusive words or gestures, be related to political bodies, groups, etc., and in general may cause quarrels or arguments in the company area.

It is at the discretion of the company to prohibit the entry of both a customer and a third party within its premises, or even expel them, in case any of the above behaviors or situations are observed.

It is recommended that customers use mild fragrances to avoid causing respiratory or other problems to customers who may suffer from some sensitivity.

It is the customer's responsibility to inform the company if he or an employee - partner of his belongs to a vulnerable group, so that the company can take care and take all the necessary measures to help him during an emergency. Vulnerable groups include: older adults, people with disabilities (eg mobility, hearing etc.), pregnant women, people with injuries (eg broken leg). These persons will be asked to analyze their needs in the event of an emergency (eg assistance with movement, assistance with breathing).

5. Company Rights

In addition to the others described herein and those described in the terms and conditions of use of our company's premises and services, our company:

  1. Has the right to suspend the provision of the agreed services to a customer or even to deny him access to the site, if the customer does not comply with the agreed or violates the rules or does not advance and pay his debts in a timely and appropriate manner.
  2. Is entitled to collect as compensation, through the issuance of a payment order, the amount of two thousand (2,000.00) euros, an amount which the customer considers reasonable, fair and settled, in the event that, after the termination of the contract between us and at the end of two (2) months, the customer who has declared our address, as his headquarters, has not changed it.
  3. Is entitled, in addition to the interest, to charge and collect from the customer, up to the amount of fifty (50.00) euros per month, as compensation, for, for any reason whatsoever, the untimely advance payment and repayment of the agreed charges.
  4. Ιs entitled to suspend Internet access upon notification by a recognized Internet authority or ISP regarding abuse of Internet use. Our company reserves the same right, in the event that it suspects that the customer has violated the company's Internet Policy, while in the above cases, the company is not excluded on the one hand to take any legal action it deems necessary, on the other hand to immediately stop the provision of services to the customer, who must pay to the company the amounts agreed at any time and in the present and in the Terms of Use and Operation, if any provided.
    In this case, the company may, at its discretion, additionally impose on the customer the amount of one hundred and fifty euros (150.00) as a one-time monetary penalty.
  5. Ιs entitled to discontinue any discount offered to the customer, in the event that the terms of the agreement are materially violated.
  6. Ιs entitled to request the payment of a fee, for the listing of the customer's details, in the directory - board of the office center building, if he decides to create such.
  7. Ιs entitled to request the payment of a price for the office restoration service, after the termination of the lease and the handing over of the premises, if any damage, destruction, etc. is found in it or in its equipment. Accordingly, in the event that the customer requests a change of office, during the validity of his contract (article 1.13 of the terms and conditions), the company may charge him the cost of restoring the office and returning it to its previous state, with an amount of which cannot be less than 1/3 of the initial rent.
  8. Is entitled to charge up to 1/20 of the monthly rent when a client repeatedly fails to comply with the office centre's operating regulations and the terms and conditions governing it.

All monetary penalties are agreed to have the effect of a penalty clause.

6. Disclaimer – third party services and equipment

  1. Our company has no responsibility for any damage caused both to the customers and to their equipment, which is not due to the fault of the company, but due to technical issues concerning the providers, manufacturers, misuse, the weather etc.
  2. Our company does not pretailors its services to the needs of each client, but offers the same services to everyone, and therefore, it is the responsibility of the client, not the company, to study and make sure that the services offered by the company cover him. Any minor changes in premises or agreements with the customer do not negate the aforementioned.
  3. Our company bears no responsibility, towards the customer or anyone else, for any interruption of the provision of the agreed services, which is not due to its fault.
  4. The company bears no responsibility towards its customers, if for any reason they are prevented from using our services, and no monetary refund or discount is owed to them, due to the above obstacle, which includes, among others, strikes , riots, weather conditions, disease, problems with utility networks or other providers, war, civil unrest, malicious damage, quarantine restrictions, compliance with any law or government order, accident, fire, default of suppliers or subcontractors, etc.
  5. In the event that such an interruption is observed for any reason, the customer is obliged to immediately inform the company, which is immediately obliged, with its responsibility being limited to this, to take the necessary actions to restore it. Any delay in the restoration shall not be borne by the company, unless the delay is due to its fault.
  6. Both the customer and those related to him are obliged to take all security measures in order to secure, as much as possible, their equipment and their assets in general. Any loss or misuse of these, regardless of the cause, is borne entirely by them, hence the company recommends the insurance of all of them. In case of theft, the company is obliged to offer all possible help to find the perpetrators.

7. Rest

  1. This regulation is valid in conjunction with the terms and conditions of operation of the company's office center and binds the company's customers.
  2. The company reserves the right to modify and supplement the present terms and conditions, at its discretion and without justification or notification, all of which bind the customer.
    Therefore, customers are advised to periodically check the content hereof.
  3. In the event that the customer finds or judges that his billing is incorrect, he is obliged to pay the debt, and to inform the company in writing of the alleged error, so that after it has been checked by the company, it can either be corrected and paid to the customer, credit note, or to explain to the customer, its correctness. The non-payment of the disputed amount is considered an overdue debt, with all the foreseen consequences.It is the customer's responsibility to ensure the insurance of both the property he brings to the office center and the operation of his business. Our company strongly recommends insurance against all risks.
  4. Any dispute between the company and the customers will be communicated to the legal department of the company, which is the only one competent to handle and resolve any legal issues.
  5. Competent courts for the resolution of any dispute related to or arising from the use of the office center and the provision of services related to its operation are the courts of Athens, regardless of the customers' place of residence.
